Privacy Policy

Last updated: October 15, 2026

1. Overview

At InvoiceRamp (“InvoiceRamp”, “we”, “our”, or “us”), we believe that your business transactions and client relationships belong exclusively to you. This Privacy Policy details the types of information we collect, how it is used, and the steps we take to protect your data when you access or use our web platform and services.

2. Information We Collect

  • Account Information: When you register an account, we collect authentication identifiers (such as your email address and name) managed securely via our authentication provider.
  • Billing & Settlement Profile: To generate invoices and estimates, you may provide your business name, logo, contact details, tax identification numbers (e.g., GST/HST, EIN, VAT), and bank deposit coordinates (ACH, wire, e-Transfer, or Zelle information) or custom payment links (e.g., Stripe, PayPal).
  • Client & Transaction Data: Information you input regarding your clients, including client names, emails, addresses, itemized services, currencies, and invoice amounts.
  • Read Receipts & Usage Data: When a recipient views an interactive invoice or estimate link, we record timestamp logs to confirm delivery and open status. We do not track sensitive client device data beyond standard diagnostic logs.

3. How We Use Your Data

We use collected data solely to deliver and optimize our core invoicing workflows:

  • Generating, dispatching, and hosting your quotes, estimates, and invoices.
  • Providing real-time read receipts and tracking indicators in your dashboard.
  • Facilitating subscription billing and plan access for our Pro tier.
  • Responding to customer support requests and providing technical maintenance.

We do not sell, rent, monetize, or disclose your client databases or financial records to third-party advertisers or data brokers.

4. Payment Processing & Banking Details

InvoiceRamp is not a payment gateway, escrow service, or money transmitter. We do not store full credit card numbers or process transaction funds directly. When you configure bank transfer instructions or link direct payment endpoints (such as Stripe or PayPal), those details are presented directly to your clients on the invoice settlement view. Subscription payments for InvoiceRamp Pro are processed securely via third-party billing providers.

5. Data Retention & Portability

You maintain full ownership of your data. You may export your invoice history and client summaries via standard CSV format at any time. If you choose to close your account, your stored client profiles, drafts, and invoices will be deleted from our production databases in accordance with our system retention timelines.

6. Security Measures

We implement industry-standard encryption protocols (TLS/SSL in transit and AES encryption at rest) to safeguard your account records and business settings. However, no internet transmission is 100% secure, and we advise users to maintain strong passwords and protect account credentials.
